We collect information about you when you provide it to us, when you use our Services, and through automated technical means as you interact with the Services.

Information you provide directly

Account Information. When you register for an account we collect your name, email address, business name, and password. Drivers added to a business account have their name and contact details added by the business owner.

Driver Information.Drivers who use the LBL Driver mobile app sign in with credentials issued by the business they work for. Their name, contact details, login credentials, and route assignments are managed primarily by the business owner. Drivers have the same data protection rights as other users — see “Your rights” below.

Business Operations Data. When using the Service to plan routes and manage deliveries, you provide information about:

• Your customers — name, address, postcode, latitude/longitude, phone number, email, and notification preferences
• Your drivers — name, contact details, and assigned routes
• Your vehicles, yards, and SKUs

Payment Information. If you subscribe to paid features, we collect billing details. Payment card processing happens via a secure third-party payment processor; we do not store card numbers on our systems.

Information collected automatically

Service Usage. We collect technical information about how you use the Services, including features accessed, actions taken, timestamps, and error logs.

Device and Connection Information. We collect information about the device and browser you use, including operating system, browser type, IP address, device identifiers, and crash reports. Mobile app usage may also collect device model and OS version.

Location data (LBL Driver mobile app). The LBL Driver app may access device location while drivers are completing deliveries, to navigate to stops and confirm delivery locations. Location is only accessed while the app is in use and only for active routes.

Cookies. We use a session cookie to keep you signed in. We do not currently use third-party tracking cookies, analytics cookies, or advertising cookies.

To provide the Services. We use your account, customer, driver, and vehicle data to operate the routing, dispatch, and delivery features. We send transactional emails to your customers on your behalf (delivery confirmations, scheduled-delivery notices).

To communicate with you. We use your email address to send service-related communications — password resets, important account notifications, and operational updates about the Services. We do not send marketing or promotional emails.

Customer support. We use your information to respond to support requests and investigate technical issues.

Safety and security. We use account and usage information to detect suspicious activity, prevent fraud, and protect the Service against abuse.

Legal obligations. We may use information to comply with legal obligations, respond to lawful requests, and protect our rights and the rights of others.

Where data protection law applies, we process information about you on the following legal bases:

• Performance of a contract — to operate the Services you have signed up for
• Legitimate interests — to develop and improve the Services, protect against fraud and abuse, and ensure security
• Legal obligation — where required by law
• Consent — where you have given specific consent (for example, customer notification preferences for your own customers)

We do not sell, rent, or trade your information with third parties for their marketing purposes.

We share information only with the following categories of processors who help us operate the Services:

• Supabase — database and authentication hosting (EU region)
• Vercel — web application hosting
• Resend — sending transactional emails on your behalf
• Google Maps Platform — geocoding addresses and rendering maps
• Apple App Store and Google Play Store — distributing the LBL Driver mobile app

These processors are bound by contractual obligations to protect your information and use it only on our instructions.

We may also disclose information when required by law, court order, or to protect rights, property, or safety.

Information is stored on Supabase and Vercel infrastructure located in the European Union. We use technical and organisational measures to protect your data, including encrypted connections (HTTPS/TLS), encrypted password storage (hashed with individual salts), and access controls limiting who can reach the data.

No transmission over the internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security.

Some of our processors may transfer or process data outside the UK and European Economic Area. In particular, Google Maps Platform may route data through Google infrastructure located in the United States and other regions. Where data is transferred outside the UK/EEA, we rely on appropriate legal safeguards, including Standard Contractual Clauses approved by the European Commission and the UK Information Commissioner’s Office, to protect your information.

Account and business data. We retain your account, customer, and driver information for as long as your account is active. If you close your account or request deletion, we delete the information within 30 days, except where we are legally required to retain it (for example, for accounting or tax purposes).

Transactional emails and logs. Operational logs are retained for up to 90 days for troubleshooting and security investigation.

Backup archives. Backups may persist for a longer period before being overwritten, but the data within them is isolated from active use.

If you are in the UK or European Economic Area, you have the following rights regarding your personal information:

• Access — you can request a copy of the personal information we hold about you
• Correction — you can request that inaccurate information be corrected
• Deletion — you can request that we delete your personal information
• Restriction — you can request that we restrict processing of your information
• Portability — you can request a copy of your data in a structured, machine-readable format
• Objection — you can object to certain types of processing

If you are a driver using LBL Driver, you have the same rights. Please contact your employer (the business owner) first, as they manage your account. You can also contact us directly using the email below if you cannot reach them or need help.

If you are unhappy with how we handle your information, you have the right to complain to the UK Information Commissioner’s Office at https://ico.org.uk.

The Services are intended for business use by adults. We do not knowingly collect personal information from children under 16. If you believe we have collected information from a child, please contact us so we can delete it.

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date at the top of this policy and, where appropriate, notify you via email or through the Service. Continued use of the Service after changes constitutes acceptance of the updated policy.
